For Recurring Relationships: Set up quarterly or monthly check-ins with mentors, advisors, and key relationships. When you follow up, immediately set the next follow-up date (e.g., 3 months out).
From Meetings: After every meeting, ask yourself "do I need to follow up with anyone?" If yes, add them immediately while the context is fresh.
For High-Stakes Follow-Ups: If it's really important (investor, major client, etc.), set the follow-up date a day or two earlier than the actual deadline. Gives you buffer time.
Professional vs. Personal
Don't feel guilty about tracking personal relationships here too. The people who matter most shouldn't be the ones you accidentally neglect. If calling your mom matters to you, put it in the system.
